Outlined below are the terms and conditions of 「STUDIO & SPACE IVVA」a project by IVVA Co. Ltd. Please make sure to read and agree to the following terms and conditions before applying to use the studio.

■ Purpose of use

・IVVA Co. Ltd’s STUDIO & SPACE IVVA (hereinafter referred to as the Studio) is a rental space available for events, screenings, exhibitions, solo shows, seminars and workshops.
Please refrain from applying to use the space for purposes other than those outlined above.

■ Scope of the following terms and conditions, and applicable changes

・The terms and conditions herein apply to all aspects of the relationship between the Studio and Applicant.

・The terms and conditions herein and available on the website are subject to change / revision at any time.

■ Opening hours

・In principle, the Studio is open 8:00 ~ 20:00, year-round except for the New Year period.

・Usage outside of regular hours is only possible upon consulting with us and having permission granted.

・Setup and takedown should be performed inside regular opening hours. After takedown of an exhibition, the Studio staff will check the space. This should also happen within regular opening hours.

・We can respond to requests for usage outside of opening hours at any time (you don’t necessarily need to give advance notice)

■ Rental fee

・Prices for use may change at any time, please check the price at the time of applying. /p>

・The rental fee for the studio applies to the start and end times indicated at the time of application, however if applicants enter the studio earlier or leave later, the rental fee will be applied to the actual time of use. However, in the case that applicants finish earlier than expected, the application rental period will apply.

・Please check with us about extra fees for use outside of regular opening hours (20:00-08:00)

・We request that first time users pay beforehand

・For any users reserving 2 days or more, we request payment beforehand

・For returning corporate customers, invoicing is possible after the rental period.

・Any bank fees incurred are the responsibility of the Applicant

・In cases where the applicant breaks the terms and conditions of this application, or uses the space in ways other than specified in the application, and due to such circumstances it becomes necessary for the Studio to shutdown usage, the applicant remains liable for the fees agreed at the time of application.

■ Extensions to rental hours

・We can accept reservations from up to 6 months in advance. The minimum usage period is 3 hours.

・After reading these terms and conditions please submit applications to reserve the studio by this form, or by fax or email.
When your application has been sent, our staff will check the reservation and contact you. That contact will constitute the completion of the reservation process.

・Reservations made over the phone will be taken on the understanding that the applicant has read and agrees with the terms and conditions of use.
In this case, information over the phone will be checked and sent in confirmation to the applicant via email. In this case, please make sure to check the contents of the confirmation email.

・There may be cases where other customers have made prior reservations that make your desired exhibition period not possible. We ask for your understanding in this matter.

■ Cancellations

・【スタジオご利用】予約成立後のキャンセルについては、スタジオご利用開始の6日前から、ご予約頂いた分のお時間に関して、以下のキャンセル料が発生致します。

・【スペースご利用】予約成立後のキャンセルについては、スタジオご利用開始の40日前から、ご予約頂いた分のお時間に関して、以下のキャンセル料が発生致します。

・40日前〜30日前まで/ご利用総額の50%
・29日前〜7日前まで/ご利用総額の80%
・6日前〜当日/ご利用総額の100%

 

・ご予約後のキャンセルについては、トラブル防止のために、お電話では受け付けておりません。必ずメールかFAXにて、ご連絡下さい。
キャンセル連絡を受領後、当社スタッフよりキャンセル確認のご連絡をさせて頂きますので、そちらの連絡を持ってキャンセルが成立するものと致します。

・キャンセル料は、予約月の翌月の末日までに、銀行振込にてお支払い下さい。

■ Requests for changing exhibition period after application has been submitted

・In principle, changing your exhibition period will incur the same penalties as mentioned above for cancellation, and you will be required to go through a new reservation procedure. However, there may be cases according to the circumstances or decision of the Studio where this will not apply.

■ Notes

・Use of backing papers and some equipment at this studio incurs a fee. Please contact us at the time of reservation

・The Studio does not have a specialist studio assistant on hand so please understand that users must carry out the studio setup themselves.

・Please do not take photographs outside of the studio space (e.g. other parts of the building, in the entrance way etc)

・Please don’t bring flammables, liquids, smoke, oil, or any other substance likely to cause noticeable stains, marks or damage to shooting. The Studio will refuse unusual shoots that appear to not support the safety of current circumstances.

・The Studio is not available adult/nude/semi-nude/swimwear photography

・Pets are not allowed in the space

・We are unable to store equipment brought in the day before use

・We prohibit any behavior such as loud engine noise, loud music, speaking loudly on the phone or parking on the street while doing setup/takedown of the exhibition, or any other behavior that causes inconvenience or annoyance to our neighbors.

・When moving around equipment or furniture, please don’t drag it on the floor, pick it up and move it.

Please don’t use extra-strong tape, nails, screws or pins in the walls, floors or ceiling of the Studio. If you want to use any of these, please make sure to consult with us before hand.

・Please inform staff if you intend to move the furniture / other arrangements in the studio. Please also return the Studio to the state in which it was rented out.

・We request that any damage or stains/marks be removed from walls, floor and ceiling and that the space is returned to the state it was let in. There may be cases where the Studio will charge an extra fee for noticeable damage.

・Please don’t use extra-strong tape, nails, screws or pins in the walls, floors or ceiling of the Gallery. If you want to use any of these, please make sure to consult with us before hand.

・The Studio is located inside a building, therefore please refrain from running around, jumping, or making too much of a racket, loud noises or any behavior that is an inconvenience or annoyance to our neighbors.

・It is prohibited to point the strobe lights from inside the building to shine outside the building, or use the strobe lights outdoors.

・Please use the specified locations for eating/drinking and changing clothes.

・We apologise for the inconvenience but request that users take home any trash created during use.
If it is impossible for you to do this, please consult us. For disposal of backing papers etc, a fee will be incurred.

・The gallery is non-smoking. If you need to smoke, please do so in the designated areas. Please also do not bring in ashtrays into the gallery.

・Staff from the gallery may need to go in and out of the gallery, we ask for your understanding.

・We will keep lost belongings at the gallery for a period of one month. After this time, at the discretion of the gallery, items may be disposed of.

■ Exhibition setup / takedown

・Please use the elevators for setting up and taking bags in and out of the studio. If you have any luggage bigger than 2m that you would like to bring in to the studio, please contact us beforehand.

・The studio is located inside a building, therefore please be considerate of other tenants in the building when using the elvator.

■ Parking

・There is no parking available at the gallery. Please use “coin parking” nearby.

・The Gallery and owner of the building cannot take any responsibility for any damage or theft of your vehicle.

・Moving your vehicle is the responsibility of the applicant

■ Space viewing prior to application

・We ask for applicants to come and view the space when it is not in use by other artists.

・If you would like to come and view the gallery, please consult with us beforehand.

■ Privacy policy

・We will not use your personal information, including address, phone number etc, other than for the purposes of reservation, cancellation, invoicing, announcement of services or other office work of the Gallery.

・Other than in a legitimate emergency, we will never supply your personal information to third parties without your consent.

■ Liabilities and Indemnities

・The Studio and building owner do not take responsibility for any natural disasters, fires or accidents that result in damages for the Applicant

・Applicants are welcome to bring in furniture or fittings. However, if any loss, theft or damage occurs to these, the Gallery accepts no responsibility.

• Regardless of the Applicant’s intention or negligence, any damage or loss to the space (floor, walls, ceiling), equipment, or property will incur a compensation for damages fee.

・If any problems occur that are not outlined in the above terms and conditions, applicants are obliged to follow the directions of the Studio

・If the applicant behaves in a way that goes against the above terms and conditions, or does not follow the instructions of the Studio, we will stop the exhibition, and refuse subsequent use by that Applicant. In such cases, we will not refund the usage fee.
